Job Summary
This project is located in Carrollton, GA and is a local hire, project-only posiiton. Employment is not guaranteed past project end date.
Administrative experience is strongly preferred.
The Project Administrator provides essential administrative, document control, and coordination support to construction project teams, enabling efficient project execution, regulatory compliance, and clear communication across internal and external stakeholders.

Key Responsibilities
• Establishes, maintains, and manages complex project filing and document control systems, including assigning file numbers, tracking action items, version control, and controlled distribution in accordance with project, client, and company requirements.
• Supports compliance with project procedures, document retention requirements, and audit readiness.
• Coordinates and manages project communications, serving as a central point of contact for internal teams, senior management, clients, vendors, and subcontractors.
• Prepares and submits expense reports for project team members in compliance with company policies and project controls.
• Interfaces routinely with senior management and clients regarding administrative, reporting, and project coordination matters.
• Maintains project calendars and, when required, the Project Manager’s calendar, including meetings, milestones, deliverables, and deadlines.
• Arranges and coordinates project-related meetings, travel, site visits, training sessions, and events, including preparation of agendas, materials, and meeting minutes as required.
• Performs scanning, electronic filing, and document indexing to support project records management and information retrieval.
• Orders, tracks, and manages office and project supplies and equipment.
• Supports onboarding and offboarding of project personnel, including coordination of access, badging, & orientation materials.
• Answers and directs phone calls; greets, logs, and directs visitors in a professional manner.
• Prepares, reproduces, collates, and assembles project documents, reports, and construction packages.
• Performs word processing, data entry, and general document preparation with a high degree of accuracy and confidentiality.
• Generates and distributes ad hoc reports using various business systems and databases to support project execution and management reporting.
• Prepares routine correspondence and memoranda, as well as more complex documents including spreadsheets, logs, trackers, and presentations.
• Maintains project logs and trackers (e.g., correspondence logs, submittal logs, transmittals, meeting actions) as required by the project.
• Coordinates the collection, review, and tracking of project timesheets, when required.
• Routes, tracks, and verifies invoices for completeness and accuracy prior to approval, in accordance with project and accounting procedures.
• Assists with preparation of project closeout documentation and archiving of records.
• Maintains discretion and professionalism when handling sensitive, confidential, or proprietary project information.
• Performs other general administrative and clerical duties in support of evolving project needs.
