In this position, the Proposal Coordinator plays a key role in supporting Proposal Team workload management, internal information systems, and day-to-day proposal activities.

Key Responsibilities
  • Review bid solicitations and associated capture materials to support the Proposal Manager in the planning and development phases of the proposal process paying close attention to the administrative, compliance and logistical requirements of bid solicitations.
  • Support preparation of kick-off meeting and requisite documents, including calendar, outlines and compliance matrices under the guidance of the Proposal Manager.
  • Attend kick-off and status meetings to track proposal process and progress.
  • As directed by the Proposal Manager, create proposal template documents, identify and integrate content information into draft documents from content library.
  • Maintain communication with Proposal Managers on the status of assigned proposal development tasks or potential problems.
  • Review, edit and format resumes and/or other assigned proposal sections to be tailored to the requirements of the RFP.
  • Assist in the production, reproduction, binding/packaging and shipping of final proposal and any accompanying required documents (hard copies/flash drive or CD), or upload of electronic copies to designated portal or client email address.
  • Maintain/update boilerplate documents and other data in content library.
  • Support the creation/maintenance of proposal files in designated SharePoint repository.
  • Archival of closed proposal documents in the appropriate company-directed repository.

Bachelor's degree in Communications, English or Marketing preferred


Preferred Skills: MS Office Suite, SharePoint, excellent communication skills. Candidates need to possess exceptional organization, grammar, proofreading and spelling abilities. They must be able to work in a deadline-driven environment and work well with teams to complete projects.

Minimum Qualifications
Minimum 1 year experience. All applicants must be able to complete pre-employment onboarding requirements (if selected) which may include any/all of the following: criminal/civil background check, drug screen, and motor vehicle records search, in compliance with any applicable laws and regulations.
