Diode Ventures, a subsidiary of Black and Veatch, is currently seeking a Contracts & Administration Assistant to join our fast-paced team. The ideal candidate will have a strong administrative background and experience in understanding project-related contracts as well as managing payments for those contracts. This candidate will function as an individual performer and report directly to the Operations Support Senior Manager.
Key Responsibilities
Administration
- Coordinates complex calendars for executives, including conferences and events
- Books travel, domestic and internationally
- Submits expense reports according to company policy
- Assembles documents (reproduction and collation)
- Electronic filing and reporting via a CRM system
Contracts
- Facilitates the execution of project contracts
- Specific task 1 (e.g. work with Sales Department and Legal on processing, executing, distributing, and filing a Land Contract or a Client LOI etc.)
- Process payments to counterparties and vendors
- Specific task 1 (e.g. onboard vendor to AP system, submit invoices, or performs complex expediting duties, etc.)
- Organizes project specifics
- File and record data in an internal CRM system
- Maintain project/overhead folders in SharePoint
- Supports continuous improvement efforts and the change management effects associated with the implementation of improvements
Management Responsibilities
Preferred Qualifications
- Experience with legal contract language
- Experience with project contract administration
- Ability to be persistent and follow-up with both internal and external clients
- Basic / intermediate Microsoft Office skills
- Spelling and grammar skills
- Attention to Detail
- Ability to work in a very fast-paced environment
- Organizational Skills, in particular planning and time management
- Ability to prioritize and resolve conflicts

Minimum Qualifications
Minimum of 2 years' experience performing duties comparable to those of a Contracts & Administration. Bachelors degree. All applicants must be able to complete pre-employment onboarding requirements (if selected) which may include any/all of the following: criminal/civil background check, drug screen, and motor vehicle records search, in compliance with any applicable laws and regulations.
