The Opportunity

As the Project Billing Supervisor, you will have the opportunity to:

 

  • Be responsible for daily supervision of a small group of billing staff
  • Serve as key resource for project billing staff regarding both systems and processes
  • Be responsible for invoicing of assigned projects and ensures contract terms are followed regarding correct billing rates and schedules
  • Work closely with Project Accountants and Project Controls personnel
  • Serve as trusted business advisor to management related to project billing
  • Provide resolution of intermediate issues
  • Ensure the project is in compliance with contractual obligations, as appropriate
  • Work under minimal supervision

Key Responsibilities

Invoicing: 

  • Generates, audits, and distributes draft invoices and/or credit memos to Project Management for review based on understanding of contract. Obtains appropriate approval and distributes accordingly. Researches and resolves basic to moderately complex invoice matters.
  • Reviews and may generate tax calculations to ensure accurate billing. 
  • Monitors cash collections for assigned group by actively communicating aging risk to project management to determine necessary collection actions. Communicates with clients regarding past due invoices. 
  • Supports project invoicing related analysis, as assigned by providing requested information. 
  • Provides support for client and annual Black and Veatch audit activities. 
  • Supports continuous improvement efforts and the change management effects associated with the implementation of improvement. 
  • Open projects for billing in accounting system. Obtains confirmation from subject matter experts that setup is appropriate. 

Projects

  • Communicates and compiles project financial information to management for assigned project and/or business area. Identifies and communicates material variances. 
  • Supports evaluation, development and implementation of project billing tools & procedures that enhance and improve overall results of assigned project and/or business area.
  • Complexity and volume includes at least one of the following: multiple contracts, multiple task orders, and/or purchase orders. 

Supervisory & Resource Management: 

  • Supervises work of others. Responsible for monitoring workload and providing day-to-day guidance for assigned staff. Typically oversees performance management, career planning, recognition, learning and development, and corrective actions. 

Primary Internal Clients: 

  • Primary internal clients are project managers, project controls, finance managers, and finance directors. 

Management Responsibilities

Supervises work of others. Responsible for hiring, discipline, and pay administration of their subordinates.

Preferred Qualifications

  • Typically 4+ years related experience, preferably two years in a project billing environment.

Preferred Technical Skills

  • Microsoft  Word, Excel, PowerPoint,  Intermediate
  • Knowledge of Black & Veatch Systems, Intermediate
  • Knowledge of percent complete accounting, Basic
  • Technical accounting knowledge, Basic
  • Knowledge of foreign currency terminology and concepts, Basic

Minimum Qualifications

  • Bachelor's Degree in Accounting or Finance, or related experience.

Work Environment/Physical Demands

Hybrid or flexible work options may be offered after the first 90 days of employment based upon manager discretion, job performance and work assignments.
