The Opportunity
In this role you will have the opportunity to:
To provide project and administrative support for a typically smaller office or for a region, under general supervision. Responsible for a wide variety of duties and tasks to ensure smooth daily office operations, and is the main liaison between corporate and regional offices for many functions, such as Human Resources and Accounting. Responsibilities are non-routine, requiring substantial independent judgment. Majority of time is spent completing office administrative activities rather than general clerical. Needs thorough knowledge of regional operation’s policies and procedures, as well as general knowledge of company policies and processes. Has frequent contact with clients, suppliers, or company employees outside the immediate work area to exchange information.
This is a Hybrid position. 3 days a week in the office and 2 at home.
Key Responsibilities
Roles may vary significantly from office to office, but representative duties include:
- Provides input regarding day-to-day office operations
- Handles office activities, such as word processing, filing, mail, or receptionist; although typically refers hire/fire decisions to office or regional manager
- Takes care of day-to-day office equipment maintenance; coordinates repair
- Maintains regional and management calendars (office conference room key contact)
- Acts as liaison for IT and ESH and S activities
- Conducts new employee orientation
- Coordinates Human Resource-related activities
- Assists with project correspondence and proposals
- Orders office supplies
- Answers phones
- Handles incoming and outgoing mail
- Completes filing activities
- Coordinates payment of invoices
- Coordinates timesheet activities
- Reviews expense reports
- Composes routine or complex documents
- Acts in capacity of a "lead person"
- Does not have management responsibility for the people to whom they provide work direction
